Full-Time Position : Executive Administrative Assistant

Location: Brainerd Workforce Center

Salary:   Entry Level Grade 6

Filing Deadline: March 8, 2010
$11.94/hour to $13.69/hour

Primary Objectives of Position: This position exists to provide high-level administrative support to the Centers by conducting research, preparing reports, handling information requests, and providing other administrative supports. May also provide direction to lower-level clerical staff.

Required Qualifications:

Education: Associate's Degree (two year college or technical school) or a combination of 3 years related education and experience.

Experience: Two to four years related experience.

Microsoft Office Package (Word, Excel & Outlook)

Preferred Qualifications: Possess basic accounting skills. Able to perform advanced office functions. Type minimum 65 wpm. Able to work in a team environment and effectively meet deadlines. Able to work effectively with other agencies, public and staff at all levels. Able to maintain confidentiality.

Essential Functions:
1.  Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.

2.  Create invoices, reports, memos, letters, minutes, and other documents using word processing, spreadsheets, or database software.

3.  Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

4.  Coordinate the transmittal of Operations Manager paperwork and cost supplies allocated between administrative office and subcenter.

5.  Respond to request for information which require detailed knowledge of office or client files.

6.  Maintains appointment schedules and makes appointments as directed.

7.  Prepare agendas and make arrangements for meetings as directed.

8.  Attend meetings to compile, transcribe, and distribute minutes.

9.  Interacts with other agencies or vendors to resolve information or services needs as directed by supervisor.

10. Coordinates filing and reporting for center to include-in-house, FSR's, performance, accruals and obligations reports.

11. Tracks MFIP performance for teams and center using monthly monitoring tool.

12. Coordinate and track allocated cost items such as phone usage, dataline billings and process bills for approval.

13. Assist with routine human resources paperwork.

14. Performs other duties as assigned.
